Just like any public meeting, people will want to ask to ask questions to find out information, to be reassured or to seek qualification on a point they are unsure about.

Q&A is an issues management and communication risk mitigation tool. It is a managed space for your community to ask you questions and for you to respond either publicly (to create a Q&A library) or privately.

    Can a Q&A forum be limited to a selected audience e.g. by invite only (whitelist) or by email domain (all people from an organisation)?

    A Q&A forum can be limited to either a specific audience, through invitation only, or by email domain, or both, as defined by the advanced participation rules which is configurable in the Project Settings space in the Administrator panel.   So, for example, you could create a list for a specific project, and invite all people in your database with a *.gov email address.  You could also invite people by name, or groups of people.  All is possible.  These settings can also be saved as a custom group for later parsing out and personalized communication through EngagementHQ's email messaging system.

    When you are moderating a question, is the user's email address visible or just their screen name?

    Only a user's screen name is visible.  The only time a user's email might be available would be in those circumstances where a participant uses their email as their actual username.

    Can a Moderator/Responder see new questions through the EngagementHQ interface or is all notification of questions done through email?

    Questions are stored in the EngagementHQ platform in the order they are received.  A moderator/responder has the option to respond publicly or privately.  Questions that are repeated or are tied to a consultation which is no longer accepting questions can be archived, and questions that contain nonsense can be junked.

    When would I use Q&A?

    Q&A is best used as part of an "issues management" strategy.

    It could be used during the implementation phase of a project when you are no longer consulting, but need to make sure your community has access to good quality information.

    It could also be used for ongoing information dissemination as a replacement for a static "Frequently Asked Questions" section of your website. Our experience shows that these sections are rarely visited.

    It is difficult to think of time when you wouldn't use Q&A.

    Good quality information is at the root of a well informed community. It is therefore critical to good quality discussion or feedback.

    Yes, you can.

    If a question is too personal; is sub-judiciary; or it is otherwise inappropriate to respond publicly, you can respond privately through EngagementHQ.

    How do I know when a new question is asked?

    Whenever a new question is asked your (or a work colleague) will get an email letting you know that there is a new question awaiting your response.

    How quickly should I post a response to a new question?

    It's not a bad idea to have an internal policy setting out your service levels. If at all possible, it is good practice to at least send a private message within a couple of hours. If only to say that you are looking into the issue and will come back with a more complete answer in the next couple of days.

    Do questions go live immediately, or can I moderate them?

    All questions are pre-moderated. Which means they do NOT go live until you have had a chance to read them and determine your response.

    Moderation is done by your team.

    What sot of reporting is available for Q&A?

    Q&A reporting includes:

    1. Onscreen list of all questions and answer (along with any metadata - time stamp, username etc)
    2. Exportable report of the above to Excel, PDF and CSV
    3. Click report for the tag cloud
    4. Search term report

    What does the 'tagging' do?

    Tagging each question as it comes in does two things.

    First, it helps your site visitors to find the answers to their questions more easily.

    Secondly, it helps you to get a quick picture of the themes around the questions you are being asked.
